INTEROFFICE MEMO: Reminder on new Globe Corporate Account arrangement and the company’s Cellphone Usage Policy

Subject:      Reminder on new Globe Corporate Account arrangement and the company’s Cellphone Usage Policy.

Please be reminded of the recent changes in your company-assigned Globe cellphone lines:

  1. Each company-issued Globe cellphone line has been enrolled with each own set of Tack-On Plans depending on your business/work requirements as perceived by Management.
  2. Each Tack-On plan has a FIX FEE that the company pays every month. Any usage beyond or on-top of your tack-on plans will be charged to you and deducted from your payroll.
  3. If you are not yet aware of your Tack-On Plans, please e-mail RUS (rusaculles@delwater.com) and request for the information. The list of each user’s Tack-On Plans will also be individually sent through e-mail in the next few days for each user’s reference.

We are starting to record and monitor each user’s monthly Globe charges. To avoid getting salary deductions from excessive Globe charges you are advised to be very conscious in your usage of your company-issued Globe cellphone. Unless covered by your Tack-On plans, avoid usages that may incur additional charges (e.g., using your Globe cellphone to call a landline number even if you have access to a landline phone in your workplace).

If you have concerns about your assigned Tack-On Plans, or if you feel you should be given specific Tack-On plans in addition to what you currently have, please discuss with your immediate superior as soon as possible.

For your reference, below is a list of the available Tack-On Plans from Globe and what they allow you to do without incurring any additional charges:

  • UnliText – Unlimited text to Globe & TM
  • UnliCall – Unlimited call to Globe & TM
  • SuperDuo – Unlimited call to Globe, TM, and landline within same local area code
  • Local Text 300 – Free 300 text messages (any network, within Philippines)
  • 30Hr Browsing – Free 30-hour Internet browsing (Time-based; not applicable to BB)
  • 160MB Browsing – Free 160MB worth of Internet browsing (Kbytes-based; not applicable to BB)
  • UnliBrowse – Unlimited Internet browsing (not applicable to BB)
  • Personal BB – Personal BB Plan

Subject:           Globe Corporate Account and New Cellphone Plans & Policies


In March-April 2010 we have applied for and were granted a Corporate Account by Globe Telecoms for the communications requirements of DELWATER. The actual activation of the new lines under our Globe Corporate Account was completed in June.

The new cellphone plans under our Globe Corporate Account effectively replaced all previous Globe cellphone plans. We have also already deactivated all Sun Cellular plans.

Most of you who have been issued Globe cellphone plans prior to the activation of our Corporate Account may not be aware of the transition because we managed to negotiate to retain most of our original Globe cellphone numbers. However, YOU MUST BE AWARE that there have been important changes in the cellphone plans, as well as in the company’s POLICIES in relation to cellphone assignments, usage, and charges, as follows:

Cellphone Plans

1. Most importantly, whatever plans you used to have in your company-issued Globe cellphone lines, you have to assume that these are no longer valid. To know what your new assigned plans are, individually send an email to RUS to request for the information.

2. Cellphone plans – known as Tack-On services under our Globe Corporate Account – have been individually chosen and granted to each personnel based on Management’s perception of his/her work-related needs. If you have questions or concerns about the Tack-Ons granted to you, discuss this directly with your immediate superior. Additional Tack-Ons will be requested and can be activated within a few days after you have secured Management’s approval.

Cellphone Units

3. Under our new Corporate Account arrangement, Globe cellphone lines in the form of a SIM Card are assigned to DELWATER personnel. These DO NOT COME with cellphone units. Previously assigned units are expected to be re-used. Employees may use their own personal units if they wish, but the line itself remains a property of DELWATER.

4. On a case-to-case basis, purchase of cellphone units may be allowed, with appropriate approval from management. This is limited to rank-and-file employees only. Specific cellphone unit models to purchase will also be decided by Management.

5. Management and selected personnel (e.g. BD/sales) are expected to provide their own units, subject to guidelines by Management. Selected BD/sales personnel may be required to use specific mobile communication devices (e.g. BlackBerry). A separate guideline/memo will cover this.

Billing & Cellphone Charges

6. All billings will be centrally sent to and paid by the Accounting Department. Any charges in excess of the fees for your specified Tack-On services will be deducted from your salary in the next payroll period.

7. Selected personnel have been granted an additional communications allowance on top of their Tack-On services. For these personnel, any charges in excess of the fees for the specified Tack-On services plus the additional communications allowance will likewise be deducted from their respective salaries in the next payroll period.

Lost and Misuse of Company-Issued Cellphone Lines

8. Company-issued cellphone lines are intended primarily for DELWATER’s business requirements. Although you are allowed to use company-issued cellphone lines for personal purposes, these are to be limited and company requirements should always be prioritized. Use of company-issued cellphone lines for purposes that are in conflict with or detrimental to the objectives of the company are strictly prohibited and are subject to appropriate disciplinary actions, including possible termination of employment for cause.

9. You are held fully and solely responsible for the proper use, upkeep, and security of your company-issued cellphone line and SIM Card.

10. Lost or stolen cellphones bearing the company-issued SIM cards should be reported immediately (within 24 hours if possible) to avoid excessive charges that may result from unauthorized and malicious use. Lost or stolen SIM cards should be directly reported to Globe Customer Service through their HOTLINE (02-730-1999). After promptly reporting the loss/theft to Globe Customer Service you are also required to report the same to the IT department.

11. Any excessive charges resulting from your lost or stolen SIM card will be charged fully to you, to be deducted from your salary in the next payroll cycle. The company may assist in requesting for reversal of charges by Globe if you can establish that the loss/theft of your SIM card has been promptly reported to Globe Customer Service and that the excessive charges were attributable to usage of your cellphone line after the reported loss/theft.

12. The cost of SIM replacement for lost/damaged SIM cards due to your negligence or misuse will be charged fully to you, to be deducted from your salary in the next payroll cycle.

Chassis Breakdown

 

MEMO FROM IT DEPARTMENT

 

Attention:  All DW branch Heads and Coordinators

 

Subject:  Proper procedure in declaring Breakdown Chassis units
  

Please be advised that you are now expected to properly declare in the system your chassis units that are considered BREAKDOWN upon their return from your clients (EIR-IN).

Here are the steps

 

1.  During EIR-IN chassis inspection, Checker must indicate in the Checklist Form if the returned chassis is BREAKDOWN or AVAILABLE FOR LEASE.  If the chassis is to be repaired and will not be immediately available it should be marked as BREAKDOWN.  Otherwise mark it as AVAILABLE FOR LEASE.

 

2.  During encoding, a returned chassis marked by Checker as BREAKDOWN should likewise be marked as such in Rocky.  This is done by ticking the checkbox labeled BREAKDOWN which was added to Rocky’s Chassis Information screen, as shown:

 

3.  Next, you should regularly check your yard’s Chassis Daily Inventory report.  You should check this report at least once a day.  This following screenshot should give you a clear idea how to access your yard’s Chassis Daily Inventory report.

 

By default it should give the daily inventory for your respective yards (If not, please inform Jojo De Jesus immediately).  It should look something like this.

 

Please take note that the uppermost portion is the summary.  You will note that under TOTAL OFF HIRE there is a row for AVAILABLE FOR LEASE and another row for BREAKDOWN.  Ideally, these 2 figures should add up to your TOTAL OFF HIRE.
Below the summary are the details for your OFF HIRE, followed by the details of your ON HIRE.  Again, you will note that in the last column each chassis is marked as either ‘available’ or ‘breakdown.’

 

4.  Since you have not previously marked your units as either available or breakdown, initially the status column may be blank.  During EIR-OUT, leave the CHECKBOX as blank and it will automatically mark the chassis as AVAILABLE FOR LEASE.

 

5.  IMPORTANT:  If you have units that are currently under repair and won’t be released for lease soon, pls send me a list.  I will instruct Jojo to manually mark them as BREAKDOWN in the database.  Please note that we will do this only once just to make sure that the statuses of all of your chassis units are immediately known.

Memo to all DW Branches: HDF, chassis roadworthiness check, on-line diagnostic system

Dear all:

 
Effective today, August 3, 2009, please use the attached Handwritten Diagnostic Form (HDF) which should now be used by the Service Advisors (formerly known as Checkers) when conducting diagnostic of an inbound / outbound chassis. Therefore, kindly supersede and discontinue the use of the old Chassis Handwritten Checklist and Gate Pass Form (CHCGPF) in view of the new form and of the new system.

 

Please take note that there is a portion on the form where the Service Advisor has to decide whether the diagnosed chassis is “roadworthy” or “unroadworthy”. A roadworthy classification means that the chassis is in good running condition and can be leased out, with or without minor findings. An unroadworthy chassis indicates that it is a breakdown and therefore not recommended for lease out until recorded major defects of the chassis are repaired or addressed. It is important for the Service Advisors to make an intelligent decision on the condition of a diagnosed chassis via the HDF and a mandatory for the Encoders to fill in this classification, so that the system can accurately determine the number or rate of breakdown chassis versus the good running condition chassis. A report will be generated from the system to provide the management an accurate figure of breakdowns.
 
Simultaneous with the implementation of the new form is the launch of the new system called On-Line Diagnostic system. This system will eventually replace the Online Rocky 2 as soon as the previous transactions of leased out chassis have already been closed.
